1. What we collect
From you directly
- Contact details you submit through our website or by email/text — name, business name, email address, phone number, and anything you write in a message.
- Billing details for invoicing — the business name and mailing address shown on your invoice, and your invoice and payment history.
- Feedback and approvals you leave on your private preview link, and the content you send us to put on your site (logos, photos, text, hours, prices).
From public sources
- To build a free preview and to reach out to local businesses, we use information a business has already published — its Google Business Profile, existing website, social pages, business directories, and similar. This is business contact information, and we only use it to contact the business about our services.
Automatically
- Basic technical data when you visit hypersites.work or a preview link — IP address, browser and device type, pages viewed, and approximate location — through our hosting provider's logs and privacy-respecting analytics.
What we don't collect: we never see or store your credit card, bank, or PayPal login details. Payments are processed entirely by PayPal (or your bank, for Interac e-Transfer).
2. How we use it
- To build your preview, deliver your website, and keep it updated and online.
- To send invoices, receipts, and payment reminders, and to run monthly hosting billing.
- To answer your messages and provide support.
- To contact businesses we think we can help, and to follow up on a preview we've built. Every outreach email includes a way to say “no thanks”, and we honour it.
- To keep our systems secure, prevent abuse, and understand how our site is used.
- To meet legal and accounting obligations — for example keeping invoice records for tax purposes.
We don't use your information for advertising networks, and we don't sell or rent it to anyone.
3. Outreach and anti-spam (CASL)
When we contact a business we haven't worked with, we rely on the business-to-business exemptions in Canada's Anti-Spam Legislation and on the fact that the contact details are conspicuously published for business purposes. Every message identifies us and includes a working way to opt out. If you'd rather not hear from us, reply “unsubscribe” or email support@hypersites.work and we'll remove you within 10 business days. Phone calls follow the same rule — tell us once and we won't call again.
5. Our team
Team members who help us build sites or make outreach calls can only see the information they need for the work assigned to them, and are bound to keep it confidential. Financial records are restricted to the people who need them for accounting.
7. How long we keep it
- Invoices, receipts, and payment records: seven years, as Canadian tax rules require.
- Your website and its content: for as long as we host it, plus 30 days after cancellation so you can request an export.
- Previews you didn't go ahead with: archived and deleted within 12 months.
- Outreach records: kept so we can honour opt-outs and avoid contacting you again; removed on request except for the opt-out itself.
- Support messages: as long as needed to help you, then deleted in the ordinary course.
8. How we protect it
All connections to our site, portal, and payment links use HTTPS. Data is stored with providers that maintain industry-standard security certifications, access to our systems requires authentication, and financial data is limited to authorized team members. No system is perfectly secure — if we ever learn of a breach that affects your information, we'll tell you promptly and explain what happened.
9. Your choices and rights
- Access and correction. Ask us what personal information we hold about you and we'll show you and fix anything that's wrong.
- Deletion. Ask us to delete your information. We'll do so unless we need to keep it for legal or accounting reasons (like invoice records), and we'll tell you if that's the case.
- Withdraw consent. You can opt out of outreach at any time, and cancel hosting at any time under our Terms of Service.
- Complaints. Email us first and we'll do our best to resolve it. You also have the right to complain to the Office of the Information and Privacy Commissioner of Alberta or the Privacy Commissioner of Canada.
10. Websites we build for clients
The websites we build belong to our clients and are operated by them. If you submit a contact form on a client's website, that information goes to that business, not to us, and their privacy practices apply. We only process it as their hosting provider.
11. Children
Our services are for businesses and aren't directed at anyone under 18. We don't knowingly collect personal information from minors.
12. Changes to this policy
When we update this policy we'll change the date at the top and, for material changes, email our active clients. Continued use of our services after a change means you accept the updated policy.
